How I Keep my Business Organized with Honeybook

My #1 business tool in my in my tech stack is Honeybook

When you first start out in business, you are thinking about all.the.things. You want to make sure you have your business structure strategized including your invoicing for clients, your contact list, email list, tax information, and more. The fact of the matter is, you need to have an organizational system in place for your financials, clients and customers no matter what system you use.


This is a system I personally use to run my own business and it has saved me hours of time because it's all in one spot.

Honeybook is a Client Relationship Management software (CRM), and is one of the leading tools used by independent small business owners today. With capabilities billing, contracts (including signature capability), AI tools, and client communication, business owners can get organized so they can provide top-tier service at every step of the way.


Who is this system good for?  

Basically ANY business that is product or service based.


Here are some examples:

Automations

These let you set up sequences of actions, like emails, smart contracts, tasks, or pipeline moves. These trigger based on client behaviors, dates, or milestones. Whether you're auto-sending welcome messages, follow-ups, payment reminders, or post-session surveys, everything can be branded, timed, and tweaked for approval

Invoicing

There are several payment processors out there, but the one built into Honeybook takes the cake 🍰. Clients and customers can pay via ACH (1.5%), credit card (2.9% entered payment and 3.4% card on file) Google Pay, or Apple pay. You can full customize how you are paid, add a spot for tips, offer payment plans, add late fees, and set clients up on autopay (or require it) - you can even offer a discount for clients who pay in full. You are in the drivers seat of your payments - as you should be! Cha-ching!

AI Meeting Notes

This is probably one of my favorite features in Honeybook. Have you ever had a meeting with a client and after it was over there were things you were struggling to remember? AI will handle that for you by recording and summarizing the meeting for you. It will even give you meeting prep notes prior to this meeting that gathers details such as project details, past communication, questions for the meeting, action items, and more. *Please note, this feature is turned on by default, so you will need to turn it off by: clicking your profile photo in the upper right of your profile, click on "company settings", select Honeybook AI, and toggling meeting prep notes on or off.

SMS Reminders

If you're like me, you like a little nudge to remind you of appointments JUST in case I happen to forget to add it to my calendar. Once your clients opt-in, they can receive SMS reminders for meetings and even payment reminders. This reduces friction, and keeps open communication so everyone is on the same page.


A Mobile App

We're all on the go these days, so having access to your CRM at your fingertips, no matter where you are, is paramount so you don't miss a beat (or feel pressured to rush home to your computer!)

Multiple Companies, and Unlimited Schedulers in One Account

Yes, you heard that right! If you have more than one company, no problem, you can just create another under the same account. For instance, I help small business owners as a Creative Marketing Partner & Ops Lead, however I also do photography (+ drone pilot) and need these 2 offers to be separate. And I need various scheduler types, so luckily Honeybook offers that to make things easy all-in-one.
